Conference and meeting wristbands
Conference bands are a different business from guest bands: the client is the organiser, not the guest, the run is small, the deadline is immovable and the delegate list changes until the morning of day one. Resorts that host groups regularly keep a standing specification for this precisely because there is never time to develop one.
Print the event, not the delegate
Personalised bands are the request and the trap. Named bands must be produced from a final list, and the list is never final — delegates cancel, substitute and register at the door. A band printed with the event and a sequential number, paired to a name in the system at registration, absorbs all of that with no reprint. Personalisation belongs on the lanyard badge, which can be printed on site in seconds; the wristband is the access credential.
Tiers here are about rooms, not spend
A conference tier is a set of doors: all delegates in the plenary, workshop tracks in specific rooms, speakers backstage, organisers everywhere. That maps cleanly onto colour, and unlike guest tiers it is not socially awkward — nobody minds that the speaker band is different. Three or four colours cover most events, and the organiser should choose them before arrival because on the day they will choose whatever is in the box.
Same property, two populations
While the conference runs, the resort still has holiday guests using the same pools and bars. The conference band must be visually unmistakable against the resort's own band range, or a bartender will charge a delegate's drink to a folio that does not exist. Keeping one band colour permanently reserved for groups — never used for guest tiers — solves this once instead of every time.
Keep blank stock on the property
The reliable pattern for resorts that host groups often: hold blank encodable stock in a neutral colour, printed with nothing but the property mark, and issue it against the event in the system. Late registrations, replacements for lost bands and a delegate count that grows by twelve overnight all become desk operations rather than a courier problem. It also means the lead time on a group booking is a scheduling question rather than a production one.
