Visual identification or RFID?

For a visual check, define the printed wording, colour and numbering staff need to recognise. An RFID band adds a credential for compatible readers; it does not create a payment or entitlement system by itself. Confirm the existing system and encoding requirements before selecting the electronic construction. If the same band must open guest rooms, test a sample against the installed lock before approving production.

Choose the material and closure for the stay

Compare woven fabric, RFID silicone and recycled fabric against wear duration, fit and intended exposure. Decide whether guests can remove and reuse the band or whether the closure must make transfer visible. Specify water, salt, sunscreen and repeated adjustment as sample-validation conditions. Judge comfort and closure on the complete sample, not only on a picture or material name.

Colours, artwork and package changes

Keep the colour system simple enough for staff to recognise in the actual lighting and service environment. Add printed package names or another visible marker where colour alone is insufficient. Approve each artwork and colour combination before the run. For mid-stay upgrades, agree whether reception replaces the band or updates the connected system; that behaviour depends on the installed software and operating procedure.

Minimum run and production timing

The minimum run is 500 bands per artwork, with mixed colours counted as one run. Typical production time is 12–21 days by material, counted from artwork and technical approval. Transit is additional and depends on destination and shipping mode. Include the date the property needs to receive the order so production and transport can be planned separately.

What to check on the sample

Review the finished print, colour distinction, fit and closure with the staff who will issue and check the bands. Where RFID is required, record the reader, credential specification and agreed acceptance test. Resolve changes to artwork, construction or encoding before approving the batch. A sample approval should identify exactly which version will be manufactured and retained for repeat orders.

Plan issue, exceptions and replenishment

Define who issues each package, how replacements are recorded and who can authorise an exception. Where entitlements are checked electronically, document the software process separately from the band specification. Keep the approved artwork and technical reference for replenishment, and state the quantities needed by package or colour when requesting another run.

Plan quantities by artwork and guest package

Use one row for each colour or package. Record the artwork version, material, closure, size and quantity, then add the receiving country and required arrival date. Rows using the same artwork should be reviewed together against the 500-piece minimum per artwork.
