A tender checklist for wristband supply
Wristband tenders tend to specify quantity, material and price, and then award on the last of the three. The questions that actually predict how a season goes are usually missing, and they cost nothing to add.
Ask for the lead-time basis
Production only or including transit? Counted from order or from approval? Two suppliers quoting "21 days" may be twenty days apart.
Ask what ships with the order
Material declaration, encoding record, batch reconciliation, approved proof. A supplier who ships none of it is cheaper for a reason.
Ask for the compatibility position in writing
Not "compatible with major systems" — a written statement about your named lock platform, and what happens if it turns out not to be.
Ask for claims to be substantiated
Any certification or recycled-content claim should come with a document that accompanies delivery. An adjective is not evidence.
Beware universal compatibility claims
No supplier can honestly promise a credential will work with every lock platform, because some platforms use credentials configured by the vendor with keys nobody else holds. A tender response claiming otherwise is either uninformed or is hoping the question never gets tested. The useful requirement is a written statement about your specific named system plus a sample test before the full order.
Documentation is a proxy for process
A supplier who can produce a material declaration, an encoding record with block ranges, and a per-carton quantity reconciliation is a supplier who has a process capable of producing them. One who cannot is usually buying from a trader and passing the boxes on. The paperwork itself is rarely read; what it tells you about the supply chain behind it is the point.
Specify the failure case
The clause worth adding is what happens when bands arrive and do not work — wrong encoding, a colour outside the agreed tolerance, a read failure on your doors. Remedy, timescale and who pays for freight. Most tenders are silent on this, which means the answer is negotiated at the worst possible moment. A single paragraph agreed in advance changes the conversation entirely.
Weight the award beyond price
If price is ninety per cent of the score, price is the only thing being bought and the rest of the tender is decoration. A weighting that gives real value to documented replacement rates, compatibility evidence and lead-time basis produces a different shortlist — and it is defensible to a finance director precisely because the criteria are specific and evidenced rather than subjective.
