Samples, proofs and written approval

The sample and proof stage is the only point at which changes are free, and it is routinely rushed by the party it protects. Everything after written approval is tooling, and tooling is a cost rather than an edit.

Test physically

On the wrists it is meant for, in the water it will meet, against the colours already on the deck.

Test technically

Where the band opens something, present a sample to a real door with whoever maintains your locks.

Approve in writing

The proof shows artwork on the band outline with the numbering position marked. Written approval starts production and fixes the specification.

What a sample set is actually for

It answers three questions a photograph cannot: does the colour match the physical reference, is the band comfortable enough that guests keep it on, and does it read on your equipment. The third is the one properties skip and the one that costs a season when it is wrong. A sample presented to your own reader by your own maintenance contractor converts a supplier's opinion into a fact about your property.

The technical sample is a different test

Where a band has to open a guest room, the sample set exists to be presented to a real lock rather than to be admired. Antenna geometry, reader recess and mounting height all affect whether a specific band works on a specific door, and none of it appears in a datasheet. Days spent here are the cheapest insurance in the whole process.

Why approval has to be written

Approval is the moment the specification stops being a conversation and becomes an instruction: tooling cut, screens made, looms set, colour locked. A verbal approval on a call leaves both sides remembering a different version, and the disagreement surfaces when several thousand bands are already made. A written approval naming the proof version is not bureaucracy — it is the only record of what was agreed.

Name the approver first

The most common delay is a proof sitting in an inbox while the property works out who is allowed to say yes. Establishing that at the enquiry stage — one named person, with a deputy — typically removes a week from the total schedule at no cost. It also prevents the more damaging version, where two people approve different things.
